1. Data controller
Firmatic is a trade name of Look Arts Vision, registered with the Dutch Chamber of Commerce (KVK 81661851). Contact: info@firmatic.nl.
2. What data we collect
- automation-scan form data: name, email address, company name, website address and your message;
- order-form data: chosen package and care level, project description, company name and an optional phone number;
- email correspondence when you contact us;
- basic technical server logs (IP address, timestamp) at our hosting provider.
3. Purposes and legal bases
- preparing and sending the automation scan and responding to your request — based on your consent (art. 6(1)(a) GDPR);
- commercial contact about our services — legitimate interest (art. 6(1)(f) GDPR);
- administration and bookkeeping under a contract — legal obligation (art. 6(1)(c) GDPR).
4. Recipients
We work with the following processors:
- Netlify (website hosting);
- TransIP (domain and email, the Netherlands);
- OpenAI (analysis of your form data and your publicly accessible website to prepare the scan; transfers to the US are based on approved mechanisms, including the EU-U.S. Data Privacy Framework);
- our own automation server (n8n) in the EU;
- Mollie (payment processing for deposits and invoices, the Netherlands).
We do not sell your data and do not share it with third parties for marketing purposes.
5. Retention
Scan data: up to 12 months or until you withdraw consent. Commercial correspondence: up to 2 years. Accounting records: 7 years, as required by Dutch law.
6. Your rights
You have the right to access, rectify, erase, restrict, port, object and withdraw consent at any time — email info@firmatic.nl. You may also lodge a complaint with the Dutch supervisory authority, Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl).
7. Cookies and analytics
With your consent we use Microsoft Clarity — anonymous usage analytics (click maps, session replays without sensitive data) to improve the site. The script loads only after you click Accept in the cookie banner; data is processed by Microsoft (US transfers under the EU-U.S. Data Privacy Framework). You can change your choice at any time via the Cookies button in the footer. The site uses no marketing cookies.
